Managing Participants

Sarah has created the Morocco Golf Trip. Now she needs to add the 12 members who are coming along. Let's see how she manages the participant list.


Accessing the Participants List

From the trip dashboard, Sarah clicks Participants (or the participant count card).

She sees the participants page - currently empty since this is a new trip.

Adding Participants

Adding from Your Organisation

Sarah clicks Add Participant. A search box appears where she can find members of Brookvale Golf Club.

She types "Sophie" and sees Sophie Anderson appear in the results. She clicks to add her.

Sophie is now added to the trip. PazGolf automatically:

  • Records her current Fair Play Index (handicap)
  • Creates her entry for all trip day competitions
  • Gives her access to view trip content

Adding Multiple Participants

Sarah continues adding participants one by one:

  • Lars Johansson (FPI 4.8)
  • Elena Garcia (FPI 8.7)
  • Marco Rossi (FPI 12.3)
  • Mia van der Berg (FPI 6.2)
  • ...and so on

The Participants List

Once everyone is added, Sarah can see at a glance:

Column What It Shows
Name Participant's name
Fair Play Index Their handicap at time of joining
Team Team assignment (if using teams)
Status Booking status (Pending, Confirmed, etc.)

Assigning Teams

The Morocco trip is a team event - Europe vs Internationals.

Tap to Assign

Sarah clicks Teams from the trip dashboard. She sees all participants with team assignment options.

To assign someone to a team, Sarah simply taps their name:

  • First tap → Europe
  • Second tap → Internationals
  • Third tap → Unassigned

Balancing Teams

As Sarah assigns players, she can see the team handicap totals updating. This helps create balanced teams if she's trying to match overall handicaps.

The interface shows:

  • Europe total handicap
  • Internationals total handicap
  • Number of players per team

Auto-Assign Option

If Sarah wants PazGolf to balance teams automatically, she can click Auto-Assign Teams. This distributes players to create roughly equal team handicap totals.


Participant Details

Clicking on a participant shows their full details:

  • Contact information
  • Fair Play Index at trip start
  • Team assignment
  • Booking status
  • Payment information (if tracking)

Removing Participants

If someone drops out, Sarah can remove them:

  1. Click on the participant
  2. Click Remove from Trip
  3. Confirm the removal

This removes them from:

  • The participants list
  • All trip day competition entries
  • Playing groups (if already assigned)

Booking Status

If Sarah is tracking payments, each participant has a booking status:

Status Meaning
Pending Added but no payment recorded
Deposit Paid Deposit received
Confirmed Fully paid
Waitlist Trip is full, on waiting list
Cancelled Dropped out

Sarah can update these manually as payments come in.


What Happens Automatically

When Sarah adds a participant, PazGolf handles several things automatically:

  1. Competition entries - Player is entered into all trip day competitions
  2. Handicap snapshot - Their Fair Play Index is recorded at time of joining
  3. Access granted - They can view trip content within the access window
  4. Team events - They appear in team assignment lists

This means less manual work for Sarah - she doesn't need to separately enter people into each day's competition.


Player Profiles

Participants can personalise their trip profile with a photo, flag, and optional nickname. These appear on leaderboards, pairings, and the reveal ceremony.

Editing Your Profile

From the trip dashboard, participants click Edit My Profile.

They can add:

Photo Appears in pairings and reveal ceremony
Flag Country flag or emoji (shown on leaderboards)
Display Name Optional nickname (e.g., "The Eagle")

The Flag Picker

The flag picker includes 20+ country flags plus special options:

  • Common flags: 🇮🇪 🇬🇧 🇺🇸 🇳🇱 🇪🇸 🇩🇪 🇫🇷 🇮🇹 and more
  • Special: Northern Ireland (custom flag)
  • Searchable: Type to filter (e.g., "ire" finds Ireland)

Where Profile Info Appears

Once set up, photos and flags appear in:

  • Team leaderboard - Flags next to member names
  • Pairings display - Photos and flags for matchplay
  • Reveal ceremony - Large photos on the big screen
  • Group cards - Small flags next to player names

Encourage Everyone to Add Photos

The reveal ceremony looks much better when everyone has uploaded a photo. Send a reminder before the trip!


Participant View

What do participants see? When Sophie Anderson logs in, she can:

  • View the trip in My Golf → My Trips
  • See the schedule and her playing groups
  • Access score entry for each day's competition
  • View the trip leaderboard
  • Edit her profile (photo, flag, nickname)

Sophie doesn't need to do anything special - she's already entered in all the competitions.

Next Steps

With participants added (and optionally assigned to teams), Sarah's next task is:

  1. Set up trip days - Add each day of golf
  2. Organise playing groups - Decide who plays with whom
