Pilot Test Checklist

Before your real trip, we recommend creating a test trip to familiarise yourself with all the features. This checklist walks you through everything you'll use during the actual trip.

Allow 30-45 minutes

Work through this checklist a few days before your trip. If anything doesn't work as expected, there's time to get help.


Before You Start

You'll need:

  • [x] Club Admin access to your organisation
  • [x] At least 3-4 test players (can be yourself with different accounts, or real members)
  • [x] A course set up in your organisation (ideally the actual trip course)

Part 1: Create a Test Trip

Step 1.1: Navigate to Trips

  1. Log in as a Club Admin
  2. From the navigation menu, click Club AdminTrips
  3. Click the Create Trip button

Step 1.2: Fill in Trip Details

Enter the following test details:

Location Your test course location
Start Date Today or tomorrow
End Date 2-3 days from start
Cost per Person £100 (or leave blank)
Max Participants 12

Click Create Trip.

Step 1.3: Verify Trip Created

You should see your new trip on the dashboard with status Planning.

  • [ ] Trip shows correct dates and location
  • [ ] Status shows "Planning"

Part 2: Add Trip Days

Each day of golf needs a Trip Day linked to a competition.

Step 2.1: Add Your First Day

  1. From your trip dashboard, click Add Day
  2. Select the date for Day 1
  3. Choose the course and tee sets available
  4. Select the competition format (typically Stableford)
  5. Click Save

Step 2.2: Verify Competition Created

PazGolf automatically creates a competition for each trip day.

  • [ ] Competition is linked (you can click through to it)
  • [ ] Correct course and format shown

Step 2.3: Add Additional Days

Repeat for each day of your test trip (2-3 days recommended).

Part 3: Add Participants

Step 3.1: Add Test Players

  1. From the trip dashboard, click Participants
  2. Click Add Participant
  3. Search for and select a member from your organisation
  4. Repeat for 3-4 test players

Step 3.2: Verify Participants

  • [ ] All test players appear in the participants list
  • [ ] Each player's handicap (Fair Play Index) is shown
  • [ ] Players are automatically entered into all trip day competitions

Part 3B: Set Up Player Profiles

Player profiles add photos and flags to leaderboards and the reveal ceremony.

Step 3B.1: Edit Your Profile

  1. Log in as one of your test players
  2. Navigate to the trip dashboard
  3. Click Edit My Profile

Step 3B.2: Add a Photo

  1. Click Choose Photo or the photo placeholder
  2. Select an image from your device
  3. The photo will be cropped to a square automatically

Photo Tips

  • Use a clear headshot or golf photo
  • JPEG or PNG format, max 5MB
  • Will be resized to 400x400 pixels

Step 3B.3: Select a Flag

  1. Click the Flag dropdown
  2. Type to search (e.g., "ire" for Ireland)
  3. Select your country flag or a fun emoji

Available flags include: 🇮🇪 🇬🇧 🇺🇸 🇳🇱 🇪🇸 🇩🇪 🇫🇷 🇮🇹 and more, plus Northern Ireland.

Step 3B.4: Add Display Name (Optional)

Enter a nickname like "The Eagle" or "Big Dave" if you want.

Step 3B.5: Save and Verify

  1. Click Save Profile
  2. Return to the trip dashboard
  3. Check your flag appears on the team leaderboard

  4. [ ] Can upload a photo successfully

  5. [ ] Photo displays correctly (not distorted)
  6. [ ] Can select a flag from the dropdown
  7. [ ] Flag appears on team leaderboard
  8. [ ] Display name shows where expected

Part 4: Set Up Teams (Optional)

If you're running a team event (like a Ryder Cup format):

Step 4.1: Assign Teams

  1. From the trip dashboard, click Teams
  2. Tap on a player to assign them to Europe or Internationals
  3. Continue until all players are assigned

Step 4.2: Verify Teams

  • [ ] Players divided roughly evenly between teams
  • [ ] Team totals shown (if handicap-balanced)
  • [ ] Can reassign players by tapping again

Part 5: Configure Playing Groups

Step 5.1: Generate Groups

  1. From the trip dashboard, select a Trip Day
  2. Click Playing Groups
  3. Choose a generation method:
  4. Random - shuffles players randomly
  5. By Handicap - groups similar handicaps together
  6. By Team - keeps team members together
  7. Captain's Pick - captains order players secretly (details)
  8. Click Generate Groups

Step 5.2: Adjust Groups Manually

You can drag players between groups if needed.

Step 5.3: Set Tee Times (Optional)

  1. Click on a group
  2. Enter the tee time
  3. For shotgun starts, set the starting hole

Step 5.4: Verify Groups

  • [ ] All players assigned to groups
  • [ ] Groups are sensible sizes (3-4 players)
  • [ ] Tee times display correctly (if set)

Part 5B: Test Captain's Pick & Reveal Ceremony

Captain's Pick is an alternative group generation method for team matchplay events. Test this if you plan to use it.

Requirements

  • Two teams set up with equal players
  • A captain assigned to each team
  • Both captains have PazGolf accounts

Step 5B.1: Assign Team Captains

  1. From the trip dashboard, click Teams
  2. Click on a team to manage it
  3. Set the Captain field to a team member
  4. Repeat for the other team

  5. [ ] Can assign a captain to each team

  6. [ ] Captain names display on team cards

Step 5B.2: Select Captain's Pick Algorithm

  1. Go to a trip day's Playing Groups page
  2. Click Generate Groups
  3. Select Captain's Pick as the algorithm
  4. You should see submission status for each team

  5. [ ] Captain's Pick option appears in algorithm dropdown

  6. [ ] Shows "Waiting..." status for both teams

Step 5B.3: Submit Picks as Europe Captain

  1. Log in as Europe's captain
  2. Navigate to Trips → [Your Trip] → [Day] → Captain's Pick
  3. You should see only your team members
  4. Drag and drop to order players (Position 1 = Match 1)
  5. Click Submit Picks
  6. Confirm the submission

Step 5B.4: Submit Picks as Internationals Captain

  1. Log in as Internationals captain
  2. Repeat the ordering and submission process
  3. After both submit, status should show "Both Submitted"

  4. [ ] Second captain can submit independently

  5. [ ] Status updates to show both submitted
  6. [ ] Neither captain can see the other's picks

Step 5B.5: Start the Reveal Ceremony

  1. Log in as the trip organiser
  2. Go to the trip day's groups page
  3. Click Start Reveal Ceremony
  4. The reveal page opens (ideally full-screen on a big display)

Step 5B.6: Reveal the Pairings

  1. Press SPACE or click to start the reveal sequence
  2. Pairings auto-reveal from Match 1 through to Match 6 (~4 seconds each)
  3. Try pressing SPACE to pause mid-reveal, then again to resume
  4. Each reveal shows both players with photos/flags/handicaps
  5. After all pairings revealed, a summary appears

  7. [ ] Pairings auto-reveal after first SPACE press
  8. [ ] Can pause/resume with SPACE or click
  9. [ ] "PAUSED" indicator appears when paused

Step 5B.7: Verify Groups Generated Automatically

  1. After the reveal completes, groups are generated automatically
  2. Click View Playing Groups to see the groups page
  3. Check the groups page shows correct player assignments

Step 5B.8: Verify Pairings Display

  1. Return to the trip day groups page
  2. You should see a Pairings table showing all matches
  3. Each pairing shows photos, flags, and handicaps

Part 6: Test Score Entry

This is the core functionality - make sure it works!

Step 6.1: Log in as a Test Player

  1. Log out of your admin account
  2. Log in as one of your test players
  3. Navigate to Enter Scores or find the trip competition

Step 6.2: Start a Live Scoring Session

  1. Select the trip day's competition
  2. Choose your playing group members
  3. Select tee sets for each player
  4. Click Start Scoring

Step 6.3: Enter Scores for a Few Holes

Enter test scores for at least 3-4 holes:

  1. Enter gross scores for each player
  2. Verify Stableford points calculate correctly
  3. Check the running totals

Step 6.4: Verify Score Entry

  • [ ] Can select all group members
  • [ ] Handicap strokes shown on correct holes
  • [ ] Stableford points calculate automatically
  • [ ] Running totals update after each hole

Part 7: Test Side Games

Side games add fun competitions within your playing group.

Step 7.1: Start a Side Game

  1. While in the scoring screen, click the Side Games tab
  2. Click Add Side Game
  3. Choose a game type:
  4. Oceans 11 - Bank your best 11 holes (needs 2+ players)
  5. Niner - 9 points per hole split between 3 players
  6. Fourball Betterball - 2v2 match play (needs exactly 4 players)

Step 7.2: Test Oceans 11

  1. Select Oceans 11
  2. After entering scores for a hole, you'll see Bank buttons
  3. Each player decides whether to bank that hole's points
  4. Try banking a few holes

Step 7.3: Test Niner (if 3 players)

  1. Select Niner with exactly 3 players
  2. Enter scores for a hole
  3. Points automatically distribute (5-3-1, 4-4-1, or 3-3-3 for ties)

  4. [ ] Points distribute automatically

  5. [ ] Ties handled correctly
  6. [ ] Running totals shown

Step 7.4: Test Fourball Betterball (if 4 players)

  1. Select Fourball Betterball with exactly 4 players
  2. Assign players to Europe and Internationals
  3. Enter scores - best ball per team wins the hole

  4. [ ] Team assignment works

  5. [ ] Match status updates (e.g., "Europe 2 UP")
  6. [ ] Front 9/Back 9/Overall tracking works

Part 8: Test Singles Matchplay

For head-to-head matches within a group:

Step 8.1: Start Singles Matchplay

  1. In the Side Games tab, select Singles Matchplay
  2. Choose which players are competing against each other
  3. Confirm the match setup

Step 8.2: Enter Match Scores

  1. Enter hole scores as normal
  2. Match status updates automatically based on net scores
  3. Handicap strokes are applied per hole

  4. [ ] Match status shows correctly (e.g., "2 UP with 5 to play")

  5. [ ] Handicap strokes applied on correct holes
  6. [ ] Match can end early if result is certain (e.g., "4&3")

Part 9: Check the Trip Leaderboard

Step 9.1: View Aggregate Standings

  1. Log back in as admin (or any participant)
  2. Navigate to your trip
  3. Click Leaderboard

Step 9.2: Verify Leaderboard

  • [ ] Shows all participants
  • [ ] Displays scores for each day
  • [ ] Running totals calculated correctly
  • [ ] Position/ranking shown

Step 9.3: Test Clickable Daily Scores

  1. On the leaderboard, click on any daily score (the points number)
  2. A modal should open showing the full scorecard for that round
  3. Verify the hole-by-hole breakdown displays correctly

Step 9.4: Check Team Leaderboard Flags

  1. Switch to the Team Leaderboard view
  2. Expand a team to see the member list
  3. Verify player flags display next to names

  6. [ ] Captain marked with star or indicator

Part 10: Clean Up Test Data

Once testing is complete, delete your test trip:

  1. Go to Club AdminTrips
  2. Find your test trip
  3. Click Edit TripDelete Trip
  4. Confirm deletion

This cannot be undone

Deleting a trip removes all associated data including scores, side games, and groups.


Final Checklist

Before your real trip, confirm all these work:

Trip Management

  • [ ] Can create a trip with correct details
  • [ ] Can add multiple days
  • [ ] Can add participants from your organisation
  • [ ] Can assign teams (if using)
  • [ ] Can generate and adjust playing groups

Player Profiles

  • [ ] Participants can upload photos

  • [ ] Flag picker works with search
  • [ ] Flags appear on team leaderboard

Captain's Pick (if using)

  • [ ] Can assign team captains
  • [ ] Captains can order their players privately
  • [ ] Both captains must submit before reveal
  • [ ] Reveal ceremony animations work
  • [ ] Groups generate from pairings correctly
  • [ ] Pairings display on groups page

Score Entry

  • [ ] Players can find and join the competition
  • [ ] Live scoring works for groups
  • [ ] Stableford points calculate correctly
  • [ ] Scores save and sync properly

Side Games

  • [ ] Oceans 11 banking works
  • [ ] Niner point distribution works (3 players)
  • [ ] Fourball Betterball match tracking works (4 players)
  • [ ] Singles Matchplay handicap strokes apply correctly

Leaderboard

  • [ ] Aggregate standings display correctly
  • [ ] Updates as scores are entered
  • [ ] Daily scores are clickable (opens detail modal)
  • [ ] Team leaderboard shows player flags

Need Help?

If anything doesn't work as expected during your test:

  1. Note the exact steps that led to the issue
  2. Take a screenshot if possible
  3. Contact support with the details

It's much better to find issues during testing than during your actual trip!


Ready for the Real Trip

Once all checklist items pass, you're ready to:

  1. Delete the test trip
  2. Create your real trip with actual dates and details
  3. Add your real participants
  4. Brief your group on how to use the app
