Creating a Trip

Sarah is organising the annual Morocco golf trip for Brookvale Golf Club. Let's follow along as she sets everything up in PazGolf.


Finding the Trips Section

Sarah logs into PazGolf and clicks Club Admin in the navigation menu. From there, she selects Trips.

She sees any existing trips for Brookvale, plus a prominent Create Trip button.


Starting a New Trip

Sarah clicks Create Trip and sees the trip creation form.

Basic Details

Sarah fills in the essential information:

Start Date 5th February 2026
End Date 9th February 2026

The location is free text - it's displayed to participants so they know where they're going.

Booking Information (Optional)

Sarah wants to track payments, so she fills in the optional booking fields:

Booking Deadline 15th January 2026

These fields are optional. If you're not tracking payments through PazGolf, leave them blank.

Notes

Sarah adds some notes that only she (as organiser) can see:

"Flights with Ryanair, golf at Mazagan Resort. Airport transfers included."

Creating the Trip

Sarah clicks Create Trip. PazGolf creates the trip and takes her to the Trip Dashboard.

Notice the trip status shows Planning. This is the initial state while Sarah sets everything up.


What PazGolf Created

Behind the scenes, PazGolf has:

  1. Created the trip record with all the details Sarah entered
  2. Set up access dates - Participants can access trip content from a few days before until a few days after
  3. Prepared for participants - Sarah can now start adding people

The trip doesn't have any days yet - that's the next step. Each day of golf needs to be added separately.


Trip Status Explained

Trips progress through several statuses:

Status Meaning
Planning Initial setup - adding days and participants
Open for Booking Accepting participant sign-ups
Booking Closed No more sign-ups, finalising details
Confirmed Everything locked in, ready to go
Active Trip is happening right now
Completed Trip finished, results available

Sarah's trip starts in Planning. She can change the status from the trip dashboard when ready.


Editing Trip Details

If Sarah needs to change anything later, she clicks Edit Trip from the dashboard.

She can update:

  • Trip name and location
  • Dates (if no scores entered yet)
  • Cost and booking information
  • Status
  • Notes

Next Steps

With the trip created, Sarah's next tasks are:

  1. Add trip days - One for each round of golf
  2. Add participants - Invite members to join

Access Dates

PazGolf automatically sets access dates so participants can view trip content:

  • Access starts: A few days before the trip
  • Access ends: A few days after the trip

This ensures everyone can see the schedule beforehand and review results afterwards.
